Add your children and manage their access

Families

Add children to your family, link an older performer, add another guardian, set up a view-only sign-in, and decide who can message your child.

As a parent or guardian, you look after your performers from one account. You see their calls next to yours, get their notices with their name on them, confirm calls and add conflicts for them, and read their messages. Children under 13 don't need an account of their own.

Everything here lives under Account → Family, on the web at on.theCallboard.app and in the phone apps. If you're new, start with Join as a parent or guardian.

Add a child under 13

  1. Go to Account → Family.
  2. Click Add a child under 13.
  3. Enter their first and last name, and choose what you are to them (Parent, Guardian, Grandparent or Family).
  4. Click Add child.

Your child gets a profile so they can be cast and called, but no login. Invitations to a show for them come to you. You're added as their first emergency contact. Check it and add your phone number in Emergency contacts, health notes and pick-up lists.

Teens with their own account can be linked to you, too.

  1. Click Link a performer 13 or older.
  2. Enter the email they sign in with, and choose your relationship.
  3. Click Send request.

They approve the request in their account. If they already have a guardian, that guardian approves it instead.

Add another guardian

For a child under 13, click Add another guardian and enter the other adult's email. They need a theCallboard account (it's free). Once they accept, they're your child's guardian too.

If someone else asks to be your child's guardian, you'll see their request at the top of Family. Choose Approve or Decline.

Let your child sign in, view only

A child without their own login can still see their schedule on a phone or the web, with a code from you.

  1. Next to your child, open Sign-in & chat.
  2. Turn on Let (name) sign in, view only.
  3. Choose what else they can see: The script, The show's files, and Chat. With chat on, you can also allow Video calls.
  4. Click Get a sign-in code.
  5. On your child's phone, open theCallboard and choose Use a family code (under 13). Or go to on.theCallboard.app/family-code. Enter the code.

The code works once, for 15 minutes. Your child always sees their calls and notices, and can tap Got it on announcements, but can't change anything. You still get every notice too. To sign them out, use Sign out next to a device under Signed in on.

Decide who can message your child

Under Sign-in & chat, choose Who can message your child:

  • The show's stage managers and directors, and people I approve. You get a notice when someone asks.
  • Anyone on their shows.

You can read all of your child's conversations either way. Requests show under Who your children can talk with. Choose Approve or Decline, and Withdraw an approval any time. One-to-one video calls are only ever with another child, with both parents' OK. There's more in Chat with your company.

Give your child their own login

When your child is 13 or older, click Own login (on the phone apps, Give them their own login). Enter their email and confirm they're 13 or older. We email them a link to choose a password. You stay on as their guardian.

Later, you can choose On their own (Let them go on their own on phones). Every guardian, you included, then stops seeing their calls and notices. They keep their account and their shows.

Delete a child's account

This deletes their profile, photo, emergency contacts and health notes, and removes them from every show. Shows keep their name and role on their records. It can't be undone.

  • On the web: click the trash button next to your child, type their first name, and click Delete (name)'s account.
  • On iPhone and Android: tap Delete (name)'s account, slide to delete, then press and hold Hold to delete for five seconds.
