Sell tickets

Managers

Set up ticket payouts, add performances and prices, share your ticket page, and check people in at the door.

theCallboard can sell tickets to your shows. Buyers pay by card on your show's ticket page, and the money goes to your organization's own Stripe account, then to your bank. You set it up once for the organization, then each show's managers run their own sales.

Set up ticket payouts (owners and admins)

This is done once for the whole organization, on the web at on.theCallboard.app.

  1. Open your organization and click Billing.
  2. Scroll to Ticket sales and click Set up ticket payouts.
  3. Stripe asks for a few details, like who you are and your bank account. It takes about five minutes.
  4. When you come back, Stripe checks your details. This usually takes a few minutes. If it says Stripe still needs something, click Continue Stripe setup. Click Check again to refresh.

When it's done you'll see Ready to sell tickets. Each show's managers now see Tickets in the show's menu. Open Stripe dashboard takes you to your payouts, bank account and tax forms.

Choose who pays the fees

theCallboard charges 50¢ per paid ticket (free tickets are free), plus Stripe's card processing, about 2.9% + 30¢ an order. Under Ticket fees on the Billing page, choose:

  • Pass the fees on: the fees are added to the buyer's cart as a service fee, and you receive the full ticket price. A $25 ticket costs the buyer about $26.58.
  • Absorb the fees: buyers pay exactly the ticket price, and the fees come out of your proceeds. From a $25 ticket you receive about $23.47.

This is the default for every show and applies to sales from now on. An owner can set one show differently with the gear on its poster under Productions. Owners can also turn Tickets off for a show there. See Your organization: people, shows and settings.

Get a show ready to sell

Open the show, click Tickets, then the Settings tab.

  1. Under Performances, add each Date, Curtain time and number of Seats. A Label like "Opening night" is optional. Click Add performance. The time and seats stay filled in, so adding a run of dates is quick.
  2. Under Ticket types and prices, click Add ticket type. Give it a Name and a Price ($), or 0 for free. Add as many as you need: general admission, students, seniors.
  3. Under Ticket sales, tick Sell tickets for this show and click Save.

In Ticket sales you can also set the Most tickets in one order, when Online sales stop (from right up to curtain to the day before), and a Note on the confirmation email for parking, doors or accessibility.

More options for ticket types

  • Pay what you can: buyers choose their price. The price you enter is the suggestion, and you can set a Minimum ($).
  • Only with an access code: the type stays hidden unless the buyer enters one of your access codes.
  • Limit per performance: at most this many of this type for each date.

Use Hide to stop offering a type. A new price applies only to tickets sold from then on.

Discounts, presales and donations

  • Discount codes: buyers type a code at checkout for a percent or dollar amount off. Each order can use one code. You can limit its Uses and set when it Ends.
  • Access codes: for presales and private tickets. A code unlocks performances before their Public sale starts date, and ticket types marked Only with an access code. Click Copy link to share a link that applies the code.
  • At checkout: tick Ask for donations to suggest gift amounts. theCallboard takes nothing from gifts; only card processing comes out, and donors can choose to cover it. You can also Add a question, like "Any accessibility needs?".

Share your ticket page

The Ticket overview tab shows Your ticket page. Click Copy link to share it anywhere, or Open page to see it. It's also on the show's public page.

Buyers get a confirmation email with a QR code for each order.

Follow your sales

  • Ticket overview: tickets sold, your online payout after fees and refunds, orders, and seats held in checkout right now. Sales by show date shows each performance and whether it's on sale or sold out.
  • Patrons: everyone coming to each performance. Search by name or email, Resend a confirmation, download a CSV, or print a Door list.
  • Reports: online sales and payout, ticket types, show dates, when tickets sold, checkout answers, and codes used.

Comps and door sales

On Patrons, pick the performance and click Comp or door sale. Choose:

  • Comps: free tickets, for example "House seats".
  • Cash or check: record money you took in person. Pick how it was Paid by.
  • Card on their phone: the buyer scans a QR code and pays on their own phone.

Cash and check sales don't go through theCallboard and carry no fee.

Check people in at the door

On Patrons, pick the performance and click Scan tickets. Point your camera at each ticket's QR code, or type the code from the ticket. You'll see Admit with the number of tickets, or a warning if the ticket is already checked in, for a different performance, or refunded. You can also tick the box next to a name.

On iPhone and Android

Managers can check people in from the show's menu in the app: Ticket door on iPhone, Door on Android. Pick a performance, tap Scan tickets, or find someone by name and check them in. You can undo a check-in.

Refunds, changes and cancellations

  • Refund one order: on Patrons, click Refund. The buyer gets their money back on their card and the seats go back on sale. The service fee isn't refunded. For comps and cash or check sales, the button is Remove.
  • Pause sales: on a performance, click Take off sale. Untick Sell tickets for this show to pause every performance. Tickets already sold are kept.
  • Change a date or time: click Edit on the performance. If tickets are sold, you can email the buyers the new date and time.
  • Cancel a performance: click Cancel…, add an optional message, type CANCEL and click Cancel and refund everyone. Online buyers get everything back, including service fees, and everyone with an email gets a notice. Hand back any money collected in person yourself.
