Your profile, alerts and text messages
Everyone
Change how your name appears, choose your reminders, add text messages, and manage your sign-in.
Your Account page holds your name and photos, how theCallboard reminds you about calls, what public pages show of you, your family, and your sign-in. On the web, open your account menu (your name, bottom left) and pick a tab: Profile, Alerts, Privacy, Family or Account. In the phone apps, tap the Account tab and choose a page along the top.
Change your name and photos
On Profile:
- Under Photos, choose Upload picture for your profile picture (shown next to your name around the app), and Upload headshot for cast lists and public show pages.
- Under Profile, fill in your First name and Last name. Add a Preferred name if you'd like it used on its own, in place of your full name (like "Mr. Cupo").
- Add Pronouns, a Stage name (used in programs and public cast lists), a Bio, and your Website or Instagram if you like. All of these are optional.
- Choose Save profile.
Your emergency contacts and health notes are on this tab too. See Emergency contacts, health notes and pick-up lists.
Choose your morning reminder
On days you're called, theCallboard can remind you of your calls that morning.
- Open Alerts.
- Under Morning reminder, tick Remind me the morning of my calls (on a phone, turn on Morning reminder).
- Pick a time between 4:00 AM and noon. It starts at 8:00 AM.
If a call starts before your reminder time, or within an hour of it, you get the reminder the evening before at 8:00 PM instead.
Get text messages
You always get reminders and schedule changes in the app. Add your mobile number and your stage manager can also send important ones by text.
- On Alerts, find Texts (on a phone, Text messages, then Add mobile number).
- Enter your Mobile number and tick the box to agree to receive texts.
- Choose Text me a code.
- Type the code we text you and choose Verify number.
Once your number is verified, you can turn texts on or off with Send me texts, and choose which kinds you get: reminders about your calls, and updates and cancellations.
On the web, you can also set Quiet hours start and Quiet hours end. During quiet hours, texted reminders are sent the evening before instead, and updates wait until morning unless the call is within 12 hours.
Your Recent texts are listed at the bottom of Alerts on the web.
Turn on phone notifications
In the phone apps, Alerts shows whether Notifications are on. If they're off, choose Turn on notifications (or Turn on in Settings). The apps also have an Extra offline reminder under On this phone. See The iPhone and Android apps.
To put your calls in your calendar, see Add your calls to your calendar.
Control what public pages show
Some shows have a public page with a cast and crew list. On Privacy, choose, show by show, whether you're Listed, and whether your Headshot and Bio appear. The All shows row changes every show at once, and shows you join later.
You can also tick Hide my bio everywhere or Hide my pronouns everywhere. That hides them from your company too. They're kept, so you can show them again later.
Your company always sees your name and role. Nothing here shows your email or phone number to anyone.
Change your email, password or passkey
On the Account tab (web):
- Under Sign-in, enter a New email and choose Change email. Check both inboxes to confirm.
- Enter a New password (at least 10 characters) and choose Change password.
- Under Passkeys, choose Add a passkey to sign in with Face ID, Touch ID, Windows Hello or a security key instead of a password.
Forgot your password? On the sign-in page, choose Forgot password? and we'll email you a reset link.
Pick light or dark
On the web, the account menu has Light, Dark and Auto (which follows your device).
Delete your account
On the Account tab, choose Delete account…. On the web, type your email to confirm, then choose Delete my account. This permanently deletes your login, photos, bio, phone number and settings, and removes you from every production. Shows you were in keep your name and role on their records.
