Share and find files

Everyone

Upload scripts, scores, tracks and paperwork, choose who can see them, and attach them to calls.

Each show has a Files page for scripts, scores, rehearsal tracks, plots and paperwork. Anyone in the company can upload. What you upload stays yours until you share it or attach it to a call.

Find a file

  1. Open the show at on.theCallboard.app and click Files.
  2. Type in Search files and folders, or use the buttons to show All, Shared or My uploads.
  3. Files are grouped by folder. Click one to open it. Audio files play right on the page.

On iPhone and Android, open the show from the Shows tab and tap Files. You can filter by All, Photos, Video, Audio or Docs, search, and switch between a list and a grid.

Upload files

  1. On the Files page, pick a Folder, or type a new folder name.
  2. Choose Who can see it: - Only me - Everyone in the company - Managers only
  3. Drop files onto the page, or click Choose files.

You can upload documents, images, audio and video, up to 50 MB each. For anything bigger, compress it or share a link instead.

On iPhone and Android

  1. Open the show's Files and tap +.
  2. Choose Upload photos or videos or Upload a file.
  3. Check the name, choose Who can see (The whole company, Only me, or Managers only for managers), and add a folder if you like.
  4. Tap Upload.

Share a file or attach it to a call

  1. Click the ⋯ button on a file (or right-click it).
  2. Choose Share or attach to a call….
  3. Change Who can see it if you need to. Managers can also choose Some departments, then pick the departments. Parents and guardians of people in those departments can see it too.
  4. Under Attach to a call, choose an upcoming call. Everyone on that call can open the file from the call's details.

Only the person who uploaded a file, or a manager, can attach it to a call.

Other things you can do

The ⋯ menu also has:

  • Rename… and Move to folder…
  • Download
  • Email to someone… to send it to anyone, like a costume shop or the venue. You can attach the file (up to 10 MB) or send a download link that works for 7 days. Replies come straight to you.
  • Versions & history, and Upload a new version…. Earlier versions are kept.
  • Edit a copy as a doc or Edit a copy as a spreadsheet, for Word, Excel and CSV files.
  • Delete

You can rename, move, replace or delete files you uploaded. Managers can do the same with any file that's been shared.

Docs and spreadsheets

Click New doc or New spreadsheet to start one you can work on together, live. It's only yours until you share it. When you share one, you can also choose who can edit it.

For young performers

A child on a view-only sign-in only sees Files if their parent turns on The show's files. They can't upload. See Add your children and manage their access.
