Send an announcement

Managers

Send a one-way announcement to a show or your whole organization, mark it urgent when it matters, and see who has seen it.

An announcement is a one-way message from a show's managers, or from an organization's owners and admins. It goes out at once as a notification. Nobody replies to it. Use it for news everyone needs, like "Rehearsal moved to Room 201". For conversations, use chat.

Parents and guardians of anyone you include get a copy too. You don't need to add them yourself.

Send an announcement to a show

  1. Open the show's Overview at on.theCallboard.app.
  2. Click Announce at the top.
  3. Type a Title. Add a Message if you want to say more. It's optional.
  4. Under Who it's for, leave Everyone selected, or narrow it down: - Pick one or more Departments. - Pick Groups: Cast, Stage management, Creative team, Design team, Crew, Musicians or Producers. - Use + Add a person… to add people one at a time.
  5. Choose how long to Show it until: End of today, 1 day, 3 days or 1 week.
  6. Check the count at the bottom ("Goes to 24 people"), then click Send.

If nobody matches your choices, you'll see "Nobody would get this. Choose who it's for."

Make it urgent

Tick Urgent for things that matter in the next few hours, like a cancelled rehearsal.

  • Urgent announcements get through Focus and Do Not Disturb settings where phones allow.
  • They stay pinned for each person until they tap Got it.
  • The button changes to Send urgent.

Once you tick Urgent, you can also tick Also send as a text. Texts only go to people who've turned them on, and they count against your organization's texts for the month. The form shows how many you have left. If texts aren't in your plan, the box says so.

Announce to your whole organization

Owners and admins can reach everyone in the organization at once.

  1. Open your organization's Overview.
  2. Click Announce.
  3. Write it and send it the same way. On the web, it goes to everyone in the organization.

On the phone apps, your organization's Announcements page lets you send to everyone or choose some of its shows.

See who has seen it

Your recent announcements are listed under Announcements on the show's Overview (or the organization's). Each one shows a count, like "18 of 24 seen". For urgent ones, it counts got it instead.

Click an announcement to see everyone it went to:

  • Got it or Seen: they've handled it.
  • Got it · by a parent's name: a parent tapped Got it, and it counts for their child.
  • Seen · by a parent's name: a parent has seen it on their child's behalf.
  • Waiting on parent: a child without their own login. Their parent answers for them.
  • Not yet: they haven't opened it.

A parent gets one copy, however many of their children it went to. Their Got it counts for each of those children. See Announcements: Got it and Seen for what families see.

End an announcement or change when it ends

An announcement stays on people's home page until it ends. You can end it early or give it more time.

  1. Find it under Announcements.
  2. Click End now to take it down. Confirm with End now.
  3. Or click Change end time…, pick a new Ends at time, and click Save. It can run for up to 90 days.

When it ends, it comes off everyone's pinned list. It stays in Updates and History. Ended ones are marked Ended.

On iPhone and Android

Open the show and tap Announcements (the megaphone) at the top. Tap the new-announcement button to write one. The form is the same, with Show it for in place of Show it until. Tap an announcement to see who has seen it, end it, or change its end time. On iPhone you can also swipe left on one to end it, and bring back an ended one with Show it again until….
